SAP Help: Display G/L Account Balances.
SAP Help: Balance Carryforward.

When two reports show different amounts, first establish which records each report counts and at what level. The same metric label does not guarantee the same population, currency, or period. Conversely, equal totals can hide missing and extra rows whose amounts offset each other.
This route helps narrow a difference to a specific set of documents or a calculation rule. It complements control equations and reconciliations without repeating their control-invariant overview.
Save both result sets with their parameters and generation time. For each report or extract, record:
source and report version, selected ledger, and company code;
accounts, organizational dimensions, and other filters;
fiscal year, periods, key date, and rules for including closing records;
currency and amount type, such as document currency, company-code currency, or another available currency;
record status and type, exclusions, rounding, and detail level;
source refresh time and the point in time represented to the consumer.
Compare the same data snapshot. If the reports were built from different snapshots or one source was still updating, the difference cannot yet be attributed to a calculation or posting. In SAP S/4HANA On-Premise, Display G/L Account Balances supports selection by ledger, company code, fiscal year, and account; available currency views; and separate inclusion or exclusion of year-end closing postings. Options depend on the release and system settings. See SAP Help: Display G/L Account Balances.
Bring both sides to a common row key that matches the reconciliation question. For a G/L record this might include source system, ledger, company, fiscal year, document number, and line item; add dimensions if they distinguish separate rows in the result being checked. This is an example, not a universal technical key for every system.
First compare row counts and key sets, then amounts by shared key. Separate the results into three groups:
keys found only on the left;
keys found only on the right;
shared keys with different amounts or attributes.
Check key repetition and joins to reference tables. Joining a fact row to multiple matching rows in a reference or hierarchy can multiply its amount. Confirm that each record is counted once and that parent totals are not added again to their details. Matching grand totals do not prove matching populations.
Keep the snapshot date and selection rules fixed. Reconcile the total, then split it progressively by:
ledger and company;
fiscal year and period;
currency and amount type;
account and relevant organizational dimensions;
record type, status, or closing process;
document and line item.
At each step, keep debit and credit separate when available. This can show whether a difference is in movements or hidden by the net balance. To check a balance, compare opening balance, period debit and credit turnover, net movement, and closing balance. Each part must use the same interpretation of period and opening balance.
If a difference appears after a join or grouping, check relationship keys and the granularity of the input sets. Do not add DISTINCT or manually exclude rows before establishing the cause: doing so can hide a real duplicate or data loss.
Missing and extra items, offsetting amounts, repeated keys, incorrect mapping
One total is a multiple of the other or grows after a join
Whether joins multiply rows or a fact is joined to a non-unique reference
Only period boundaries or opening balance differ
Posting date and fiscal period, balance carryforward, special periods, year-end closing records, and snapshot time
Difference remains only for selected ledgers or companies
Ledger and company-code selection, accounting scope, and applicable report rules
Document currency matches but another currency does not
Currency code, currency type, exchange rate and translation date, valuation, and rounding
Difference appears only at summary level
Aggregation rule, parent and child totals, totals counted twice, and mismatched detail level
Individual documents or lines differ
Status and record-type selection, reversal and reposting, date/period, and source amount
These are diagnostic clues, not proof. A symptom can have several explanations; confirm a hypothesis against keys and source rows.
5. Distinguish an error from an expected difference#
Before making a correction, check whether the reports represent different but valid accounting views. Differences may relate to currency, ledger, recognition date, valuation, or period close. For a new fiscal year, account type and carryforward rules also matter: SAP documentation describes carrying forward balance-sheet account balances and separately handling profit-and-loss accounts through a retained earnings account. This does not mean that every year-over-year difference is expected; check the specific process and result. See SAP Help: Balance Carryforward.
If the difference is explainable, document a reconciliation bridge: the rule, affected rows, amount, period, responsible process, and supporting evidence. Do not hide an expected difference with a manual report adjustment. If the cause is unconfirmed, record it as an open question and extend the evidence from aggregate totals down to documents.
