| Distribution |
| Assessment |

CO: cost objects, allocation, and order settlement#
Scope: SAP S/4HANA 2025 On-Premise FPS01. This article compares cost centers and internal orders, periodic allocation cycles, and order settlement. Check detailed rules for the specific object type, allocation context, and product.
Choose the object by its purpose#
A cost center is an organizational unit within a controlling area that represents where costs occur and where responsibility sits. An internal order monitors costs, and in some scenarios revenues, associated with a defined purpose. SAP describes, for example, overhead orders for temporary monitoring of overhead costs, investment orders for costs that may be capitalized, and accrual orders for period-related accruals.
| Object |
Responsibility |
Typical question |
| Cost center |
Where did overhead costs arise, and who is responsible? |
How do we allocate and control a department's expenses? |
| Internal order |
Which bounded measure, investment, service, or cost item should collect amounts? |
How much has accumulated on the task, and where should it be settled? |
Do not choose an object only because the system can technically post an amount to it. Consider duration, responsibility, revenue eligibility, later allocation or settlement, and required reporting. An order can collect costs without becoming a permanent organizational responsibility center.
Allocation methods preserve different detail#
In S/4HANA On-Premise documentation, distribution transfers primary costs using the original cost element. The receiver retains the original expense type, and the CO document preserves sender and receiver information. Assessment transfers primary and secondary costs using an assessment secondary cost element. The method therefore changes the cost detail visible to the receiver.
| Method |

What remains in the analysis |
| Distribution |

| Assessment |
Primary and secondary costs |
A summarized allocation element; source detail is represented differently |
Synthetic example: the Energy cost center allocates 1,000 of heating expense between Production and Administration. If receivers need to retain the original Heating cost element, use the method that keeps the source element. If a summarized internal transfer is sufficient, consider assessment and check the account assignment and reporting separately. This is an instructional example, not an SAP result.
A cycle defines senders, receivers, and rules#
A periodic allocation cycle has a name and a start date. It contains one or more segments that describe sender and receiver combinations processed together. A segment also defines the applicable rules for allocating amounts or quantities. A cycle is not universal: available object types and methods depend on the allocation context. Cost Centers, Profit Centers, and Margin Analysis each support their own combinations.
Cycles can be used in plan or actual scenarios. Before an actual run, check the period, senders, receivers, tracing factor, allocation context, and source amounts. A formal cycle check catches some errors, but SAP documentation explicitly says it does not guarantee that execution will succeed. Use a test run to check processing; an actual run creates the actual allocation. Afterward, reconcile sender amounts, receivers, cost elements, and run messages.
Order settlement is a separate operation#
Cycle allocation and internal-order settlement solve different problems. A cycle transfers amounts between defined senders and receivers by segment and tracing rules. Order settlement closes amounts accumulated on an order to an eligible receiver according to its settlement profile and settlement rule.
SAP Help documents a simplified one-receiver settlement: one cost center, G/L account, or business process using one settlement cost element. This option cannot be used when a general settlement rule has been entered for the order. The order must have a status that permits settlement; an order with posted revenues cannot be settled to a cost center. In this simplified option, settlement to a cost center is by period, while the G/L account option is documented as cumulative through the selected period.
Do not confuse this scenario with the Manage Settlement Rules app. For SAP S/4HANA 2025 FPS01, SAP documents that the app displays and edits actual settlement rules; planned settlement is not supported. Before choosing an app or method, check the order type, settlement profile, receiver category, rule, and required period handling.
A short reconciliation sequence#
- Identify the object: cost center or internal order, its purpose, and the period.
- For allocation, select the allocation context and method according to the required source-cost detail.
- Check the cycle name and start date, segments, senders, receivers, rules, and tracing factor.
- Run a test first; inspect messages and amounts before an actual run.
- For an order, separately check status, settlement profile, receiver, and settlement cost element.
- After processing, reconcile sender credit, receiver debit, period, and original CO documents.
If the result differs from expectations, first determine whether the issue concerns object choice, allocation, or settlement. Then inspect the rules and log for that operation. An internal posting alone does not explain the business meaning of an amount; preserve its link to the source document and object purpose.
